ROAD TO BALLPARKS
Four phases. One unforgettable week.
From the day your deposit lands to the day you check in — here’s the timeline most teams follow.
Phase 01 · 1+ Months Out
Lock the roster, book the travel.
Confirm your 14-player roster in EventConnect. Coaches finalize the 4-coach list. Book hotels through HousingConnect if your team is 75+ miles away (8 room-nights minimum). Confirm flight or drive plans.
Phase 02 · 2 Weeks Out
Order add-ons and trading cards.
Browse the EventConnect add-on catalog: Family Feast tickets, photography packages, trading cards, linen tiers, SDC/White Water tickets. Trading-card art deadlines hit two weeks before tournament week.
Phase 03 · Week Of
Packing list. Game schedule. Final balance.
Schedules post to EventConnect about a week out. Final balance due per your payment plan. Check the packing list (cleats, helmets, gloves, water bottles, sunblock, the small stuff). Coaches confirm pin trading inventory if you brought your own.
Phase 04 · Arrival Day
Check in. Drop bags. Lockers waiting.
Pull up to the campus, hospitality checks your team in, hands over suite keys. Players walk to their suite — custom jerseys and hats already hung in pro-style lockers with their names on them. Opening ceremonies that night under the lights.

Everything operational lives in EventConnect — your registration platform. Sign in to your team account to manage rosters, view schedules, book housing, and pay balances.
Step 01
Register your team
Pick your tournament, lock in your age group, and reserve your spot with the $1,000 deposit. Confirmation email goes to the head coach. Your EventConnect team dashboard opens up the moment registration clears.
Step 02
Make your roster & invite the team
Add players inside your dashboard. EventConnect emails each family directly — they fill in profiles, sizes, and emergency contacts on their own. Coaches don’t chase down forms.
Step 03
Book accommodations
Hotels through HousingConnect, vacation rentals through Thousand Hills, all surfaced inside your dashboard. Single checkout, same payment plan as the tournament balance — no separate cancellation policies to track.
Step 04
Custom jerseys & add-ons
Design your custom jerseys and hats with Triton. Order trading cards, photography packages, Family Feast tickets, theme-park tickets, and team merch — all from the same dashboard, all on one bill.

ROSTER
Invite the team. Families do the rest.
Coaches don’t chase down forms. Add each family’s email and EventConnect sends parents a direct invite to enroll their player. Once everyone’s in, you’re ready for the next step.
Step 01
Coach builds the invite list
Open the Roster tab in your EventConnect dashboard. Add a row for each player — name and a parent’s email is all you need to send the invite.
Step 02
EventConnect emails each family
Parents get an email with a secure enrollment link. One email per player. Re-send from the dashboard if anyone misses it.
Step 03
Parents enroll their player
Each family fills in the player profile — date of birth, jersey number, position, sizes, emergency contact, and waivers — directly through the link. Coach sees the green checkmark as each one comes in.
Step 04
Move on to the next step
Once every player is enrolled, the roster’s ready. Coach gets a confirmation email and the dashboard advances you to accommodations.
FAMILY LODGING
Players sleep in suites. Where do parents stay?
Two great options: the brand-new Element Hotel right next door to campus, and Thousand Hills Vacations rentals (cabins, golf-course villas, lakefront homes) through our API partnership.
BOOKING PROCESS
All four options book through EventConnect.
Step 01
Search dates
Inside your EC team dashboard, the Thousand Hills API surfaces all available units for your tournament week. Filter by bedroom count, distance, amenities.
Step 02
Book + pay
Single checkout. Same payment plan as your tournament balance. No separate Vrbo/Airbnb account, no separate cancellation policy to track.
Step 03
Drive over
Confirmation, address, gate code, parking instructions all sit in EC. Drive in, find the spot, walk to the field.
CUSTOM JERSEYS & HATS
Design your custom jerseys and hats with Triton.
Every team at a weeklong tournament gets custom-designed jerseys and hats — included in the tournament package. We partner with Triton to handle the design, production, and delivery. Jerseys and hats are waiting in the team suite Saturday afternoon when you arrive. Players take them home.
What’s customizable.
Team name & lettering. Front and back. Pick your team name, mascot, or city callout.
Player names & numbers. Above the jersey number. Numbers on the front and back. Pulled from the locked roster.
Team colors. Pick a primary, secondary, and accent. Triton’s catalog covers most MLB-style schemes.
Logo or crest. Upload your team logo at high resolution, or pick from Triton’s stock baseball-club marks.
Matching hats. Embroidered with your logo or wordmark. Shipped with the jerseys.

HOW IT WORKS
From design to suite in four steps.
Step 01
Start the design
From your EC team dashboard, open Triton Designer. Pick a base template, choose colors, drop in your team name.
Step 02
Upload logo + roster
Upload your logo (PNG/SVG). Player names and numbers pull from your locked roster automatically — Triton lays them out on the jersey back.
Step 03
Confirm sizes
Coaches collect sizes from each family. Triton offers Youth XS – Adult XL across the line. Final size sheet goes in with the design.
Step 04
Picked up at the suite
Triton ships the order directly to the campus. Hospitality hangs jerseys in pro-style lockers and stacks hats on the shelf above before your team arrives.
Design deadline: Triton needs the final design + size sheet two weeks before your tournament — same window as roster lock. Late submissions can still go through, but at expedited shipping cost. Start your design in EventConnect →
PLAYER TRADING CARDS
MLB-style cards. Your kid’s face on the front.
Professional design. Real photo. Your player’s name, position, season stats. Players trade them all week. Families keep them forever.
How it works
Upload your player’s photo (or use a tournament-day shot from BPoA Photography).
Fill in name, jersey number, position, and a one-line stat or quote.
Pick a pack tier — number of cards determines how many your player can trade with friends, family, and other teams.
Cards print and arrive bundled at the campus on tournament check-in day.
Order deadlines hit two weeks before your tournament. Late orders may not arrive in time for trading.

PHOTOGRAPHY
Professional photography all week, all over the campus.
A team of staff photographers covers every field, every Skills Competition, every Home Run Derby swing, Opening Ceremonies, and championship Friday. Action shots, posed team photos, locker-room reveals, and Media Day headshots — uploaded to a private team gallery as the week unfolds.

Fly into an airport less than an hour away.
SGF is 45 minutes from campus. STL is the major-hub backup. Most teams fly in, pick up a rental, and they’re parking at the field by lunch.
